Job Summary
We are looking for a highly motivated and experienced Remote Property Manager to oversee the day-to-day operations of our property portfolio located in within the Niagara Region and Welland. From your home office, you will be responsible for all aspects of property management, including leasing, tenant relations, financial management, and maintenance coordination.
The ideal candidate will be a master of organization and communication, capable of managing properties effectively through digital platforms and by coordinating with local, on-the-ground vendors and staff. You will be the primary virtual contact for tenants and owners, ensuring all properties are well-maintained, financially sound, and compliant with all provincial and federal regulations.
Key Responsibilities
Tenant & Lease Management
Leasing: Manage the end-to-end leasing process, including marketing vacant units, utilizing virtual tour technology, and coordinating with on-site agents for in-person showings.
Screening: Thoroughly screen prospective tenants (credit, background, and reference checks).
Tenant Relations: Serve as the main point of contact for all tenant inquiries, requests, and concerns via phone, email, and tenant portals.
Lease Administration: Prepare, execute, and enforce lease agreements. Virtually coordinate move-in and move-out procedures, including scheduling on-site staff for inspections and managing security deposit dispositions.
Rent Collection: Oversee all rent collection processes, manage delinquencies, and, if necessary, coordinate with paralegals or legal counsel for proceedings in accordance with Ontario LTB.
Financial & Administrative
Budgeting: Assist in the development and management of annual operating budgets for each property.
Financial Reporting: Prepare regular reports for property owners and senior management, including rent rolls, income/expense statements, and variance analyses.
Expense Management: Approve and process all property-related invoices, ensuring expenses are in line with the approved budget.
Record Keeping: Maintain meticulous digital records for all properties, including leases, tenant files, vendor contracts, and compliance documents.
Operations & Maintenance
Maintenance Coordination: Remotely coordinate all property maintenance and repairs by dispatching and managing local vendors and on-site staff to address tenant work orders promptly.
Vendor Management: Source, negotiate with, and manage relationships with local third-party vendors and contractors (e.g., landscaping, snow removal, plumbing, HVAC).
Inspections: Arrange and review regular on-site property inspections (conducted by local staff or third-party services), analyzing reports and photos to ensure properties are safe, clean, and well-maintained.
Compliance
Ensure all properties adhere to local, provincial, and federal laws, including the Ontario's Residential Tenancies Act and the Canadian Human Rights Act.
Qualifications & Skills
Required:
2 years of proven experience in property management within Canada.
In-depth knowledge of the Ontario's Residential Tenancies Act and landlord-tenant laws in Ontario, Canada.
Strong financial acumen with experience in budgeting, financial reporting, and rent collection.
High level of proficiency with property management software (e.g., Buildium) and cloud-based collaboration tools (e.g., Google Workspace, Webex, Slack).
Proven ability to work independently, self-motivate, and manage a workload remotely with minimal supervision.
Excellent communication, negotiation, and interpersonal skills, particularly in a virtual environment.
A dedicated and professional home office setup with a reliable, high-speed internet connection.
Preferred (Nice-to-Have):
A valid Real Estate License in Ontario.
Professional certification (e.g., CPM, ARM).
Strong familiarity with the specific real estate market in the Niagara Region and Welland.
